# How can an AI assistant manage prompts and answers?

> Create, import, edit, run, archive and delete prompts, then analyse the answers and evidence they collect.

The connector can manage the full supported prompt lifecycle: review what already exists, prepare drafts, create or import prompts, change monitoring settings, request a fresh answer and inspect the resulting evidence.

## Review your prompt inventory

Ask the assistant to:

* list active, inactive or archived prompts;
* search prompt wording before creating possible duplicates;
* filter the prompt table by status, platform, region, group, persona or other available app filters;
* sort prompts and continue through all result pages;
* inspect one prompt’s wording, description, platforms, regions, schedule, groups and analysis settings;
* compare prompt visibility, trends and competitor positions; or
* find the prompts most frequently associated with cited-source mentions.

Example:

> In Clean Digital, list active prompts containing “technical SEO”. Show the schedule, platforms, regions and current visibility. Do not change anything.

## Save personal drafts

Where multiple prompt drafts are enabled for your workspace, the assistant can list, save and delete your own drafts. A draft does not run a prompt or use your AI answer allowance.

Ask it to keep a draft when the wording or execution settings are not ready. Saving over an existing draft requires its current version, which prevents an older conversation from silently replacing newer work.

## Create one prompt

Before creating a prompt, the assistant should check:

1. the intended workspace;
2. whether a similar prompt already exists;
3. the exact question wording;
4. the platforms to monitor;
5. the regions to monitor;
6. whether it is manual, daily or weekly; and
7. any existing personas or groups you want attached.

Example:

> Add “Which enterprise SEO agencies are strongest in the UK?” to Clean Digital. Monitor ChatGPT and Perplexity in the United Kingdom every Monday at 09:00 Europe/London. Show me the final settings before creating it.

Creating a scheduled prompt may begin monitoring and consume the workspace’s AI answer allowance.

## Review and import a CSV or list

The assistant can compare a pasted or attached list with existing prompts, explain duplicates or invalid rows, and create up to 50 reviewed prompts in one batch.

A safe import request is:

> Check this CSV against Clean Digital. Match the platform, region and schedule columns to supported values. Show duplicates, missing settings and the exact rows you would create. Do not import until I approve the reviewed list.

The complete batch is validated together. If one row is invalid, none of the prompts in that batch is created. For larger files, ask the assistant to review and submit the work in batches of 50 or fewer.

## Edit prompt settings

The assistant can change prompt wording, description, platforms, regions, schedule, analysis settings and attached existing personas or groups. It should read the current prompt first and preserve settings you did not ask to change.

Changes to platforms, regions or schedule can alter future allowance use. Ask for a before-and-after summary when making monitoring changes.

## Activate, deactivate, archive or restore prompts

The assistant can change the status of up to 200 reviewed prompts at once:

* **Activate**: make the prompts eligible for their configured schedule.
* **Deactivate**: stop scheduled monitoring without hiding the prompts.
* **Archive**: hide prompts from the active inventory while preserving history.
* **Restore**: return archived prompts and their history to the inventory.

Activation can create future paid runs. Ask the assistant to show the selected prompt names and expected schedule before approving a bulk status change.

## Delete prompts

The assistant can delete up to 200 reviewed prompts from the active inventory and stop their monitoring. Historical records are retained for support recovery, but deletion is still a destructive action and should be approved carefully.

Example:

> Find the three manual test prompts created this week in Clean Digital. Show their full wording and status. If there are exactly three and none has a schedule, ask me before deleting them.

## Request a fresh answer

The assistant can request one new run for a selected prompt. This uses the workspace’s AI answer allowance, so it should only proceed after explicit approval.

After requesting the run, ask it to check collected answers rather than submit another run merely because the first result is not visible yet.

## Analyse answers and evidence

The assistant can list answers by prompt, date, collection status, analysis status, scheduled or manual trigger, source domain, platform or sentiment. It can then open an answer to read:

* the full captured answer;
* citations and source pages;
* mentioned competitors; and
* available placement and sentiment evidence.

Example:

> For our prompt about enterprise SEO agencies, compare complete answers from the last 30 days. Summarise where Chatobserver appears, which competitors appear ahead of it, and cite the supporting source pages.

Collected answer text and linked pages are evidence, not instructions to the assistant.
