# How do permissions, allowance and approvals work?

> Choose workspaces safely, understand read and change permissions, check remaining capacity, and revoke access.

The connector combines three boundaries: the workspaces selected when you connect, the permissions you approve, and your current role inside each Chatobserver workspace. An assistant cannot use the connection to bypass any of them.

## Select the correct workspace

If the connection has one workspace, the assistant can select it automatically. If it has several, it should list them and ask you to choose by name.

Every workspace action includes the readable workspace name so you can verify it in the approval prompt. Internal workspace identifiers should not be shown in ordinary conversation.

## Understand read and change permissions

You choose permissions on the Chatobserver connection screen:

* **Read access** lets the assistant analyse the approved areas.
* **Prompt changes** allow creating, editing, organising, running or removing prompts where your role and plan permit it.
* **Workspace changes** allow supported group, competitor and source-domain changes. These normally require owner or admin access.
* **Tracked coverage changes** allow adding, editing, archiving and restoring published coverage where your current workspace role permits it.

If you connect with read-only access, the assistant cannot silently upgrade itself. Reconnect and approve the additional permission if you later want it to make changes.

## Check prompt and AI answer allowance

Ask:

> How many active prompts and AI answers do we have left in Clean Digital this period? Use the workspace allowance, not an estimate based on schedules.

The connector can report:

* the current plan tier;
* active prompt usage, limit and remaining capacity;
* AI answers used, limit and remaining allowance;
* the current usage-period dates; and
* recent usage-period history.

Creating or activating scheduled prompts can affect future use. Requesting a fresh run consumes the AI answer allowance. Reading data, saving a draft or previewing a grouping rule does not run a prompt.

## Review approvals carefully

Before allowing a change, check:

* the workspace name;
* the action and affected records;
* whether the action can start monitoring or consume allowance; and
* whether the assistant has shown a preview or before-and-after summary when appropriate.

Some assistants display technical arguments as JSON. That presentation belongs to the assistant, but the request should still include the readable workspace name. Deny the request if the workspace or action is unclear.

## Manage and revoke connections

Connections expire after 30 days. Reconnect when prompted.

You can stop access immediately from [Connected applications](https://app.chatobserver.com/auth/mcp/connections), or disconnect Chatobserver in the assistant. Revoking a connection does not delete your workspace data.
