Open the shared report and choose its PDF download action. The report owner must enable PDF downloads for that shared link. The download represents the published report version you are viewing.
Report sharing permissions with the Download PDF control enabled

Enable PDF download for viewers who need an exported copy.

Prepare a report for export

Review page layout, chart labels, table widths, and long text in the report before publishing. Select the intended page scope and enable Download PDF in the link’s permissions. Publish updated content before requesting a PDF when you want the export to include recent edits or refreshed data. Editing the working document alone does not update the published version.

Request the download

The PDF is prepared when a download is requested. Wait for the download state to complete instead of repeatedly starting the same request. Opening or publishing a shared report does not itself mean a PDF has already been prepared.

If the download is unavailable

Check that the shared link is active, that you meet its access requirements, and that the owner enabled PDF downloads. A report’s data-export permission does not automatically grant PDF access. If a prepared download link has expired, request the download again from the report. If the report itself is expired or revoked, ask the owner for access. Continue with sharing permissions if you own the report.
